Selling
Five ways to take money across the counter, each posting straight to stock and the books.
Till (Fast Sale)
The counter screen. Scan or type an item, take payment, done — all on the keyboard. Split a payment across cash and bank, in USD and LBP at once; park a sale to serve the next customer and come back to it; reprint or WhatsApp the receipt. Weighing-scale barcodes carry the weight. Each cashier picks, removes and orders the items shown first (“My items”, drag to reorder), and prices follow the customer’s level. It keeps selling with no server and no internet.
Sales Invoice
A full sale on account: multiple lines, a document discount, a salesman for commission, serial numbers where an item needs them, and a note. Saving posts the stock out, the customer’s balance up, and the revenue to the ledger. Negative quantities are allowed on purpose — a trade-in on a sales invoice is handled as a purchase from the customer.
Each customer buys at its own price level — P1 super dealer, P2 dealer or P3 retail, set by the admin — and the lines load it by themselves. F1 shows what this customer paid for the item before, right above the lines; F4 or a double-click opens the item’s statement. A sale never invents an item: a cashier is told it isn’t found, while the admin can buy it on the spot and come straight back to finish the sale. A customer on credit terms gets a due date on the invoice by itself — printed, and changeable.
Price control & approvals
Every cashier sells at the prices you set. Price a line below the minimum (P1) and it turns red with a “double check sale price” warning. Sell at cost or below, or take a discount past that user’s limit, and the sale stops and waits for admin permission. The cashier either types a one-time 4-digit key you gave them, or sends the sale to you and waits — the save finishes by itself once you approve. A rejected sale saves nothing, and the cashier never sees the cost — or P1 itself, unless you allow it. Prices are checked when the cashier leaves the price box, not on every keystroke.
Sales Return
A customer brings something back. The stock comes back in, the customer’s balance comes down, and the return shows against sales in the reports. Serial numbers return to stock so the same unit can be sold again.
Quotation (Proforma)
A price offer that posts nothing — no stock moves, no balance changes, nothing reserved. It prints as “PROFORMA — not a tax invoice,” carries a validity date, and converts into a prefilled sales invoice with one key when the customer says yes.
Buying
Bring stock in and send it back, with the cost and the supplier balance kept straight.
Purchase Invoice
Stock in from a supplier. Each line’s cost updates the item’s weighted-average cost, so profit later is the real profit. The supplier’s balance moves, serials are registered with their warranty start, and VAT (if on) is handled including reverse charge. Typing a part number previews the matching items without ever loading a guess; a new part number opens a “new item” window on the spot, with a new category in place if needed.
Purchase Return
Send goods back to a supplier. Stock out, the supplier balance down, the cost unwound — the exact mirror of the purchase.
Money & the books
A real double-entry ledger sits under everything. These are the screens that move cash and show the accounts.
Receipt Voucher
Money in from a customer, split across cash and bank if needed. A row can be a cheque — its number, bank and the date it can be cashed — which waits in “Cheques to collect” instead of counting as cash. A receipt can also be a refund (a negative row), which correctly reverses the balance.
Payment Voucher
Money out — paying a supplier, an expense, a salesman’s commission. Same split-payment handling as receipts, and the same cheque rows for post-dated cheques you give.
Journal Voucher
A direct debit/credit adjustment between any two accounts — opening balances, transfers between cash and bank, a correction. Must balance to save.
Cheques — post-dated, cleared, bounced
Every cheque you receive or give, listed by the day it can be cashed. A waiting cheque is not cash, so the cash and bank figures stay honest. When the bank cashes it, press C and pick the bank; if it comes back, press B and the customer owes it again (or you owe the supplier again). Each step is a journal voucher you can undo. Value dates are off until the owner switches them on, and only the admin and managers set them. Tiles show what is to collect, what is to pay, what falls due this week and what is past its date — and the main menu warns you about this week’s cheques.
Accounts Chart
Every customer, supplier, cash, bank, revenue and expense account, numbered by a clear scheme. Create a customer or supplier in seconds; set a credit opening balance; mark a party VAT-exempt or reverse-charge; pin a salesman and a commission window to a customer, set the price level it buys at, and give it payment terms (net 15, 30, 60… days). The same party can’t be entered twice — two accounts may share a name only when the phone or address differs. Wherever you pick an account, the list shows its number, name and balance (green or red).
Statement of Account
One account’s running balance from its opening figure through every posted document, for any period. Drafts and voided documents never appear. Open it from any account with F4 or a double-click, switch to the detailed view to see every line of every document, and print it or send it on WhatsApp.
Stock
Items, their movement, their serial numbers, and counting the shelf.
Items (Stock)
The catalogue: part number, barcode, name, three price tiers (retail, dealer, super-dealer), cost, quantity, unit, whether it needs serials, warranty months, VAT rate and category/brand/group tags. Stock can go negative on purpose — a shop can sell an item before its purchase is entered. The list exports to Excel in one click, and a shop selling sizes and colours can switch on Variants: one item per size and colour, made from a single base item.
Statement of Item
One product’s whole movement history — every purchase, sale, return and adjustment — with the running quantity, so any number on the shelf can always be explained.
Items For Account
What one customer or supplier has bought or sold over a period, item by item — useful for “what does this customer usually take?”.
Stock Count (Stocktake)
Walk the shelf with a scanner — each scan adds one — or type part of a name and the item is picked as soon as only one matches. A blind mode hides the expected number so the counter writes what’s really there. Posting sets each counted item to its figure and records the adjustment on the item’s statement. A partial count is fine: items you don’t touch are left alone.
Serial numbers & warranty
Items that need it carry one serial per unit. A purchase registers each serial with its warranty start; a sale marks it sold; a return puts it back. The same unit can never be sold twice, and a returned unit keeps its history. Warranty lookup by serial is built in.
Knowing where you stand
The reporting side — one owner’s screen and a deep reports screen, all computed live from the ledger.
Business Status
The owner’s landing page: capital, stock value by category, who owes you and how old the debt is, whom you owe, and the month-by-month trend.
Reports — twelve tabs, thirteen with VAT on
One screen, any period, twelve views (thirteen when VAT is switched on): Overview, Sales, Counter (the till), Commission, Profit & Loss, Receivables, Payables, Cash flow, Balance sheet, Trial balance, Documents, Audit log, and VAT. Figures only ever count posted documents, each belongs to the date on it, and the balance sheet ties to the P&L. Receivables and Payables age every unpaid invoice from its due date — “not yet due”, then how many days late — with an overdue list one tick away. Print any of them, or export as PDF, Excel or WhatsApp.
Inventory Reports
Stock ageing, near-expiry, and turnover over a 30/60/90-day window — what’s selling, what’s sitting, what’s about to go off.
Running the shop
The day-to-day control screens: the drawer, the audit trail, data health, branches and salesmen.
Shift & Cash
Open a shift with a counted float, record cash in and out of the drawer, close with a count and a Z-report. What the drawer should hold is worked out from the ledger, not a running tally, so the Z-report can’t drift from the books.
Edits & Deletions
A full audit trail: every create, edit, void and restore of a document, with who did it, when, the reason, and a before-and-after picture of every line. Voiding reverses the stock, the balance, the cost and the ledger exactly; restoring puts it all back with the same number.
Documents you can’t change by accident
Open any invoice or voucher screen and it shows the last saved document, locked. Enter or F6 starts a new one. Changing a saved document takes Ctrl+F: the admin goes straight in, anyone else needs the admin’s one-time key or approval, for that one document, for ten minutes. Duplicate copies any invoice into any other kind — a purchase into a sale takes selling prices, a sale into a purchase takes cost — and saved documents always print the balance as it was when they were posted. Every document shows its date and time to the minute, on screen and on paper. Leaving one you haven’t saved asks once: stay (Esc), save and go on (F12), or drop it (F11).
Data Health
A self-check over the books and the stock — any account whose stored total drifts from its ledger, uncosted stock, orphaned records — with one-click repairs for what it finds. The assistant can run it and explain the result in plain words.
Branches
More than one shop: stock is tracked per branch, each document and each line can be given a branch, and stock transfers move quantity between them — find the item by scanning or typing part of its name. A branch switcher sits in the menu for anyone allowed to use it.
Salesmen & commission
Assign a salesman to a sale or to a customer, set a rate (with per-category, brand or group overrides), and choose whether commission is earned when the invoice is written or when the customer actually pays. The Commission report shows earned, paid and outstanding, and posts an accrual with one click.
SUNy — the assistant
A built-in assistant that reads your real books and answers in plain language — English or Lebanese Arabic.
Ask about your shop
“How much does Rami owe?” · “What did we sell this month?” · “Do we have SSD 1TB, and at what price?” · “Who are my best customers?” Answers come straight from the ledger — no report to build. Many questions are answered instantly, for free, with no AI key at all.
Check and repair the system
“Check the system” runs one sweep over the licence, the backups, the network, the tills and the books, and tells you in a sentence what — if anything — is wrong, and which repair clears it. It knows the configuration and the troubleshooting, so a shop has a self-healing tool, not just a chat box. Repairs work by name, even with no AI key: “back up now”, “run the checks”, “repair the database”, “unlock sales 12” — each only if that user could do it by hand, and each logged. “It is slow” gets what the server sees plus a checklist.
Respects who’s asking
The assistant honours each user’s access exactly: it never shows a cashier a cost or a balance they aren’t allowed to see on a screen, and it can only do what that account could do by hand.
Draft a sale from one sentence
“Fawter 3a Ali 3 SSD 1TB” or “2abed men Rami 500$” — the assistant opens a draft invoice or voucher on the screen, pre-filled and checked against the same rules as the invoice screen. If something is ambiguous it shows you the options instead of guessing. Nothing is saved until you review it and press save.
Where it runs & staying safe
How Galaxy is deployed, how it keeps working when the line drops, and how it protects the shop’s data.
Three ways to run it
Store server — everything on a PC in the shop, tills on the local network, no internet needed. Online (cloud) — the server on a VPS, reachable from anywhere. Hybrid — cloud server with offline-capable tills that keep selling when the internet drops and sync when it’s back. Switch mode from the admin panel; a store can be moved to the cloud without losing anything.
Keeps selling offline
When the server or the internet is gone, tills still take sales, returns and receipts, sign in on a saved ticket, and queue everything. The Sync Center (menu Y) shows the tills, what’s waiting, and lets you review anything that didn’t go up cleanly.
Licensing & updates
Activated online once and bound to its computer — one key per PC. Lifetime, one year, or a trial you set the length of. After the grace period an unconfirmed licence goes read-only rather than losing data. Updates install themselves overnight and roll back if one fails.
Backup & Galaxy Protect
Automatic nightly backups on the PC (and to Google Drive if connected). Galaxy Protect sends an encrypted copy off-site every night, openable only with your recovery code — so a dead disk, theft or ransomware isn’t the end. Restore the whole shop onto a new PC from the off-site copy.
Work from outside the shop
Owners and managers can sign in from home, another branch or a phone, over a secure tunnel. Who’s allowed to sign in from outside is controlled per account, and the shop’s own address can be locked so only the counter PCs sell.
Help from Technodel, only when you allow it
Administration → Licence: allow Technodel in for 24 hours, 7 days, or until you turn it off. Technodel signs in as its own account, a label shows on screen while it’s there, every visit is listed with when, how long and from where, and “Turn off” signs it out at once. Each support link works once, for ten minutes, for your shop only.
Looked after from one place
Technodel’s Galaxy Hub watches every shop: online or not, on the latest version, backed up last night, licence in order — and lists anything that needs attention in plain words, so a problem is often fixed before the shop notices it. Shops send totals only, never documents, items or customer names. A new hosted shop is set up from the Hub in about a minute.
Talking to customers & staff
My WhatsApp
Each user links their own WhatsApp number once, then sends any invoice, statement or report straight to a customer from the print screen — as a PDF or Excel — without opening WhatsApp. When it isn’t linked, it falls back to opening a chat with the message ready.
Staff chat
Built-in chat between users — direct and group, with replies, forwards, files, voice notes and who’s online. The admin can monitor and clear it.
Settings & options
What the admin can change in System Settings (menu Z) and Administration (menu U). Every one takes effect at once.
Business identity
Name, address, phone, tax number and logo — printed on every document and shown on the sign-in screen.
Currency & exchange rate
USD with LBP alongside, at a rate you set. Each document keeps the rate it was saved at.
VAT / sales tax (optional)
Off by default. Turn it on with a rate and a label; choose prices-include-VAT or VAT-on-top; per-rate VAT accounts and reverse charge are supported. Switching it on never changes an old document.
Receipt & document text
Header and footer lines for the receipt and the printed documents.
Receipt printer & drawer
A thermal printer by network or Windows, paper width, number of copies, auto-print at the till, and the cash-drawer kick. No printer? Documents print from the browser.
Scale barcodes
Read the weight out of a weighing-scale label — the prefix, the code length and the divisor.
Negative stock
On by default, so an item can be sold before its purchase is entered. Turn it off to block overselling.
Strict serial control
Off by default (a mistyped serial warns, never blocks a sale). On, every serial problem must be fixed before saving. Selling an already-sold serial is refused either way.
Void reasons
Optionally require a reason to void, chosen from a list you keep.
Commission rules
Earned on payment or on invoice; based on profit or on sales; whether the biller earns it.
Users & permissions
Per account: which of the 26 screens they can open, whether they can see cost prices, whether they are under price control, whether they may apply discounts and how large a share of an invoice, and four extra privileges — delete documents, restore documents, manage backups, apply data-health fixes. Pin a user to a branch.
Price control & discounts
On for every account except the admin, and switched off per user if you want them to sell at any price. Each user’s discount limit is 3% of the invoice by default. The limit is measured after the invoice discount, so a sale under cost is caught even when the discount is spread over several lines.
Approvals & one-time keys
Administration → Approvals lists every sale waiting for permission, with the reason, and lets you approve or reject it. Generate ten 4-digit keys at a time for the times you are not at the desk; each works once and is spent when used. Keys are separate from your own password. Recent decisions and key uses are kept.
Deployment & remote access
Store / cloud / hybrid mode, the store’s address lock, offline-days, and who may sign in from outside.
The keyboard
The same keys work on every screen. A cashier never needs the mouse.
F12 — Save
Saves the document and goes back a step. The primary save, everywhere.
F11 — Discard
Leaves without saving. Asks first if there’s unsaved work.
Enter — Next field
Moves to the next field in order. It never saves.
F3 — Locate
Opens the search for whatever field has focus — account, item or document number.
F4 — Statement
Opens the statement or details for the line or account (double-click does the same).
F5 — Save & Print
On a document, saves then prints; on a report, prints (with PDF, Excel, WhatsApp).
F6 — New
Starts a new document of the same type.
Shift+F11 — Void
Voids a posted invoice or return, with a reason. Never the plain key, so you can’t void by accident.
